guidelines for submission of audio recording projects

Vox Nova Media (VNM), the media production and distribution arm of the Lotte Lehmann Foundation, was organized to further the Foundation's two central missions: to preserve and perpetuate Lehmann's legacy, and to honor her dream of bringing art song into the lives of as many people as possible.

The specific mission of Vox Nova Media is to reveal and enrich the legacy of Lotte Lehmann in a variety of forms, including audio recordings, video recordings, printed materials, and any other media appropriate to furthering that mission. Taking on roles of both curator and disseminator, VNM will reissue historical audio recordings by Lehmann and her colleagues, present new recordings of contemporary vocal repertoire and of the vocal art of contemporary interpreters, and develop and distribute scholarly resources and educational materials relevant to cultivating the vocal art in which Lotte Lehmann's legacy lives on.

All proposal submissions will be reviewed by the LLF Recording Committee-appointed "Editorial Review Board," which will be chaired by a member of the LLF board, and include at least two other individuals, who may or may not be members of the LLF board. Project proposals must include a production-ready master and indicate sources of secured funding for post-production and manufacture of recordings. Submissions will be evaluated based on the relevance of the project to VNM?s core mission, on the overall artistic merit of the programming and performance, and on the technical quality of the proposed recording.

Deadlines are open and submissions are accepted year-round. Materials will be reviewed within six months of Vox Nova's receipt of a complete submission packet. Submission packets that are determined to be incomplete or illegible will be rejected. Please do not send unique or irreplaceable materials. Neither Vox Nova Media nor the Lotte Lehmann Foundation can accept any responsibility for loss or damage to such materials. Recordings and scores will be returned only if a self-addressed stamped envelope is provided. Any recordings and scores for which return mailing materials are not provided will be discarded. With the scores and/or recordings, etc. that represent the project content, the submission packet should contain the following information:

  • Name and contact information of the principal person submitting the project
  • Name of performers/ensemble and key personell associated with the project, including relevant descriptions and biographical material
  • Project content: Title of project, track list (titles, composers, performers, durations, instrumentations), and total duration
  • Copyright clearance information, including a statement of whether or not clearance has been obtained for all texts and music (if not yet obtained when project is submitted, project submitter is responsible for acquiring all necessary copyright clearances from composers, performers, publisher, and/or Harry Fox after the project is approved by VNM)
  • Project description: up to four paragraphs including information regarding:
    (a.) What is newsworthy/historically significant/special about the project? (b.) The distinction of the composers and performers, including history and mission of the performing ensemble (if applicable) and information on all principal artistic personnel. (c.) What is the relevance of the project to the stated missions of the Lotte Lehmann Foundation and of Vox Nova Media?
  • complete project budget, including all sources of secured funding for post-production, and manufacture and/or setup for digital download, of the proposed recording.

Steps to making an audio recording with Vox Nova Media

I. Production of edited master audio recording

A.

1. Determine performing artists, and repertoire.

For standard CD production, the total duration should be no more than 74 minutes, and only in special circumstances (which should be noted in the application) should it be less than 60 minutes. If distribution is to be solely via digital download, the total duration should be indicated, but is not subject to CD constraints.

2. Either determine that all repertoire, including texts and music, is in the public domain, or secure written permission from the copyright holders to record it.

B.

1. Determine recording space, identify recording engineer, and producer (without experience, applicants are not advised to act as session producers, and artists -- regardless of experience — who are performing on the recording are advised never to do so). Determine, with producer and engineer, appropriate length of session(s).

2. Reserve space, schedule and hold session(s).

3. Identify editor, and, with session producer, edit raw session recordings. Distribute to artists and composers, if living, for their comments and approval. Re-edit if necessary, then, with producer and engineer, and produce a finished CD (for manufacture of hard copy CD) or electronic file master (for upload of final digital download file).

C. Secure funding for steps II and III.

As noted in the guidelines for application, a biography of each artist, and a listing of each individual repertoire item, its duration, and the artists involved in each selection, should be prepared, along with descriptions of the significance of repertoire, its unifying theme, and its relevance to the mission of VNM (see detailed requirements in guidelines).

II. Production of graphic and verbal material

A. Identify person or persons who will write program notes.

B. Identify cover images, and person or persons who will supply such images, and, as necessary, secure permission to use those images.

C. Identify designer(s) for CD insert and CD cover, or for analogous web-based materials in the case of distribution via digital download.

III. Manufacture/distribution of recording

A. If releasing a CD:

1. Produce CD booklet, inserts, and CD's; assemble the CD-booklet/insert package, shrinkwrap, ship, and store. Distribute, as appropriate, to reviewers, to broadcasters, to the relevant variety of stores in various forms (e.g., physical, web-based, etc.).

2. Pay royalties if provided in contract. Reprint and/or provide for alternative distribution as appropriate.

B. If releasing a file for digitial download:

1. Create dedicated webpage, upload audio and related non-audio (graphic and written content) files to the official VNM website.

2. Distribute new product via the internet to relevant reviewers, broadcasters industry professionals, and e-distributors worldwide.

C. Pay royalties if provided in contract. Provide alternative distribution as required.

Functions under I. should be completed by applicant, and appropriate evidence that each has been accomplished should be presented with any application.

Functions under II. may be handled by VNM or by applicant in consultation with VNM, but should not be completed by applicant alone without approval of each aspect by VNM.

Functions under III. will be handled by VNM

When functions under I. are completed, and before functions under II. have begun, application for acceptance of the project should be made to VNM, which, if the application is complete, will be presented to VNM's editorial committee, which will take one of three actions:

1. approve the project for VNM production
2. suggest changes and reapplication
3. reject the project.


Assuming all listed requirements are met, criteria for the decisions of the editorial committee will include artistic quality of all aspects of the project, and relevance of the project to the mission of VNM.
